Keen School of Music Policies

At Keen School of Music, we are committed to providing a positive, professional, and inclusive learning environment for all students. To ensure the best experience for students, families, and staff, we have established the following policies regarding communication, band programs, lesson cancellations, and liability.

1. Communication & Business Hours
  • Official Contact: All scheduling, billing, and general inquiries should be directed to our official email (keenschoolofmusic@gmail.com) or phone (615-682-4939).

  • Business Hours: Mon-Fri 11am-7pm | Sat 10am-3pm. Messages received outside of these hours will be responded to the next business day.

  • Personal Contact & Social Media: Business-related messages should be sent via official channels only. Staff/teachers are not required to respond via personal channels. 

  • Emergencies: Urgent lesson or performance concerns should be communicated via our official phone or email.

 

2. Teacher Interaction & Boundaries
  • Respect for Time: Students must arrive on time; late arrivals can not extend lesson time.

  • Observation: Parents may observe lessons quietly. Disruptive behavior may lead to early dismissal without a refund.

  • Professional Communication: Teachers are expected to communicate with students and parents through official Keen School of Music channels, and are not expected to give out their personal contact information or respond to messages sent to their personal accounts.

  • Teacher Personal Information: Keen School of Music Staff are not allowed to share other staff members personal contact info without consent from that staff member.

 

3. Lesson Cancellation & Rescheduling
  • 20-Hour Cancellation Policy: Cancellations within 20 hours of a lesson will be charged in full. 

  • Grace Period: Cancellations made before business hours the day of the lesson via voicemail, email, or text can have the cancellation fee waived.

  • Emergencies: If a client cancels due to an emergency that falls into one of these categories: Serious medical accident, car accident, death of a loved one, death of a pet, emergency doctor visit/vet visit, or a funeral, then the student will not be charged for that lesson.

  • Rescheduling: Make-up lessons may be scheduled within the same week or an extra lesson the following calendar week at the teacher’s discretion.

  • No-Shows: Unattended lessons without notice will be charged in full, with no make-up lesson offered.

  • Sick Policy: Notify us at least 2 hours in advance if a student is sick.

  • Teacher Absences: If a teacher cancels, a substitute may be assigned and clients will be notified. In this case, the client can reschedule the lesson at no charge.

  • Teacher Resignation: Refunds will not be issued for partially used lesson packages if a teacher leaves Keen School of Music.

 

4. Payment, Liability & Media Policy
  • Final Sale: All sales are final. Lessons must be used within one year of purchase.

  • Transfers & Donations: If a client has lessons remaining on their account and they no longer can attend lessons, the client may transfer unused lessons to another student or donate the lessons.

  • Liability Waiver: Keen School of Music is not responsible for injuries or accidents on or off-site.

  • Media Consent: Photos/videos of public performances/recitals/group programs may be taken for promotional purposes unless a Media Opt-Out Form is signed. The opt-out form is available at the front desk. Staff are not permitted to take pictures and videos of students for private lessons without express permission from the student/parent/guardian. 

Student Privacy: 

  • Keen School of Music staff are not permitted to share clients’ personal information

  • Keen School of Music staff are not permitted to share clients’ scheduled lesson times with anyone outside of staff members

  • Keen School of Music will not post a student’s first name on their social media channels without express permission from the student, parents, or guardians. 

  • Keen School of Music will not post a student’s last name unless express permission is given by that student, parents, or guardians. 

 

5. Enrollment & Registration
  • Registration Required: By enrolling at Keen School of Music, you agree to the Keen School of Music business policies.

  • Trial Lessons: Scheduled through the front desk and subject to availability.

  • Lesson Packages: Must be used within one year of purchase.

  • Lessons scheduling: Clients must communicate if they would like to keep the same time slot each week, otherwise, time slots will not be reserved for that student. 

  • Scheduling online: Clients can schedule lessons via our online portal/website up to 13 days in advance.

  • Account Creation: Students are required to put down a phone number, email, and first and last name on their account

 

6. Special Accommodations & Accessibility
  • Inclusive Environment: Keen School of Music welcomes students of all abilities.

  • Requests for Accommodations: Parents should inform us in advance of any special needs.

  • Safety Considerations: If additional support is required, parents may need to be present during lessons.

 

7. Equipment & Facility Use
  • Use of School Equipment: Students may only use Keen School of Music’s instruments and gear with permission.

  • Responsibility for Damages: Students/parents are responsible for any damages caused to school property.

  • Practice Room Usage: Must be reserved in advance, and time limits must be respected.

 

8. Withdrawal & Program Exit
  • Withdrawal Notice Required

  • No Refunds for Band & Group Class Withdrawals

  • Program Cancellations: If a class is canceled due to low enrollment, a refund, lesson credit, or hold for the next semester will be offered. 

 

9. Complaint Resolution
  • Reporting Issues: Concerns should be brought to administration professionally.

  • Resolution Process: Keen School of Music will work toward a fair solution. A parent/teacher meeting may be called with multiple parents to work towards a conflict resolution.

  • Final Decision: All decisions regarding scheduling, teacher assignments, and program participation rest with the administration.

 

10. Refund & Payment
  • Payments Due: Tuition and fees must be paid by the first lesson. 

  • No Refunds: Payments for used/partially used lessons, classes, or programs are non-refundable.

  • Missed Payment Consequences: Non-payment may result in removal from the schedule.

 

11. Health & Safety
  • Sick Policy: Students with a fever or contagious illness must notify us at least 2 hours in advance to avoid late cancellation fees. If a client comes in with a contagious illness, the teacher reserves the right to deny that client a lesson, and the client will still be charged for that lesson time. 

  • Emergency Preparedness: Staff will follow emergency procedures, including calling 911 if necessary.

 

12. Inclement Weather & Emergency Closure Policy
  • Closures: If Keen School of Music must close due to inclement weather or other emergencies, notifications will be sent via call, email, social media, and/or text.

  • Make-up Lessons: If lessons are canceled due to weather, we will attempt to reschedule based on teacher availability. If rescheduling is not possible, virtual lessons may be offered as well. subject to teacher availability

  • Student Responsibility: Safety is our #1 priority. If Keen School of Music remains open but a student has to miss their lesson due to weather, Keen School of Music will not charge for that lesson time. We encourage clients to alert us as early as possible so the staff can plan accordingly. 

 

13. Dismissal & Expulsion
  • Reasons for Dismissal:

    • Repeated violations of policies.

    • Disruptive or unsafe behavior.

    • Failure to pay tuition.

    • Harassment of staff, students, or families.

  • Final Decision: The school owners have the final say on dismissals.

 

14. Studio & Classroom Conduct
  • Respect for Space: Students should treat the studio and equipment with care.

  • Waiting Area Expectations: Parents and siblings should remain quiet and respectful.

  • Lost & Found: Unclaimed items will be donated after three months.

 

15. Attendance & Punctuality
  • Timeliness: Lessons will begin and end at the scheduled time regardless of tardiness.

ROCK READY POLICIES

​

1. Band Program Policies
  • Band Assignments: Based on skill level, age, and availability.

  • Equal Participation: Every student in a band program will receive equal performance opportunities.

  • Parental Involvement: Band placements are decided by staff and are not subject to personal requests. Requests WILL be taken to account by staff, but not guaranteed. This is subject to scheduling availability. 

  • Attendance: Frequent absences may result in removal from the program. (Student misses more than half of rehearsals/classes)

  • Hearing Protection: Students are responsible for their own earplugs or hearing protection.

  • Conflict Resolution: If conflicts arise, our band directors/staff will mediate discussions to find a fair resolution. If a student is causing significant disruptions, we will work with the family to address the issue appropriately. A parent meeting can be called by the band director/ staff to help conflict resolutions. 

  • Band Reassignments: In cases where a band is not working well together, Keen School of Music reserves the right to reassign members to ensure the best possible experience for all students.

 

2. Rock-Ready Band Program Rules & Disciplinary Actions

Rock-Ready Band Program Rules:

  1. Respect Your Bandmates – Treat everyone with kindness and understanding. Bullying will not be tolerated. Students may not physically or verbally assault their band mates. If the student becomes a danger to the students/teacher or acts inappropriately in class or to another student while at a Keen School of Music event, the student will be removed from the program immediately. 

  2. Listen – The teacher has the final say in band matters. Be open to new songs and be responsible for your practice. When the teacher is talking, the student should be listening. 

  3. Respect the Equipment – Do not adjust volume or misuse Keen School of Music  equipment. Volume control is important for a focused rehearsal.

  4. Drinks & Food – Drinks must be in a closed container. No drinks on equipment. Food snacks are only allowed in the lobby.

  5. No Guests from Students – Only family members may observe Rock-Ready practice. 

  6. Keep Tidy – Throw away trash and clean up before leaving.

  7. No Phones – Phones should not be used during practice.

  8. Dress Code –  Clothing or jewelry with profane, obscene, or defamatory language or symbols, ethnic slurs, or references to drugs, sex, excessive violence, blood, or alcohol are prohibited. Excessively revealing clothing is prohibited, including short mini-skirts, short-shorts, super low-cut tops, see-through blouses, mesh shirts, or corsets. Students are encouraged to express themselves through clothing, as long as they follow these rules.

 
Disciplinary Process for Rule Violations
  • First 3 Offenses – The teacher will address the student privately during band practice.

  • After 3 Offenses – The teacher must speak with the parents to address the issue and reinforce expectations.

  • Continued Violations – If the student continues breaking rules after parental involvement, the band director will reevaluate the student’s participation for the next semester, and will be asked to sit out 1 full semester of Rock-Ready.
